How to Run a Contest
Overview of Running a Contest

It takes around 25 people, plus the contestants, to put on a contest. And beyond them there is the audience.

This page will explain the duties of each contest role because there is much organization and coordination to do and much knowledge to know in order to successfully put on a great contest!
Speaking Area

BEFORE CONTEST:
· Arranged for its configuration by Contest Chair
DURING CONTEST:
· Indicated by Contest Master to contestants and judges
AFTER CONTEST:
· Use for any photograph taking
Contest Master

BEFORE CONTEST:
· Get contestant paperwork/information from previous level contest
· Get means to determine speaking order
· Review contest rules
· Gather contest forms
· Make contest agenda
DURING CONTEST:
· Brief the contestants, draw for speaking order
· Get The Word from Chief Judge
· Announce speaking order and any "Rules" (e.g. silenced devices, minute-of-silence, leave/enter room, etc.)
· Run the contest
· Properly introduce the contestants
· Assure fairness for everyone
· Announce/award the winners
AFTER CONTEST:
· Send paperwork to the next contest level
· Congratulate the contestants
· Thank all contest helpers
· Maybe have photographs taken
Evaluation Contest Test Speaker

BEFORE CONTEST:
· Write and practice your speech that will be evaluated by Evaluation Contestants
· Decide which manual project you will get credit for the speech and let your club VP Education know
DURING CONTEST:
· Give your speech title to the Contest Masterer
· Bring your speech manual to give to someone to evaluate you for manual credit
· Give your speech
AFTER CONTEST:
· Talk to the contestants, congratulate the winner
· Talk to your "Official" manual project evaluator
Timers

BEFORE CONTEST:
· Receive briefing from Chief Judge
· Get timer equipment/forms needed
· Assure contestants can see time indicators
DURING CONTEST:
· Properly keep contestant speaking time
· Alert Contest Master after minute-of-silence
· Give timer form to Chief Judge
AFTER CONTEST:
· Return equipment to Contest Chair
Sgt-at-Arms

BEFORE CONTEST:
· Receive briefing/instructions from Chief Judge
· Receive instructions from Contest Master
· Determine how will handle contestants for Evaluations and Table Topics
DURING CONTEST:
· Assure no one leaves/enters room when contestant is speaking
· During minute-of-silence bring in next Evaluation or Table Topics contestant
· Assist contestants as needed
AFTER CONTEST:
· Assure contest room put back in proper order
Sgt-at-Arms

BEFORE CONTEST:
· Receive briefing/instructions from Chief Judge
· Receive instructions from Contest Master
· Determine how will handle contestants for Evaluations and Table Topics
DURING CONTEST:
· Assure no one leaves/enters room when contestant is speaking
· During minute-of-silence bring in next Evaluation or Table Topics contestant
· Assist contestants as needed
AFTER CONTEST:
· Assure contest room put back in proper order
Audio-Visual

BEFORE CONTEST:
· Arrange for A/V equipment delivery and setup
· Test the equipment
DURING CONTEST:
· Set up each contestant with the microphone
· Find out if any Contestants need a projector and screen
AFTER CONTEST:
· Assure A/V equipment gets back to the owner
Contestants

BEFORE CONTEST:
· Assure the Contest Chair has your paperwork from the previous contest level
· Read the contest rules
· Practice your speech in as many clubs as possible
DURING CONTEST:
· Receive briefing from the Contest Master
· Draw for speaking order
· Put on a great show
AFTER CONTEST:
· Accept your winning trophy or congratulate those that won
· Assure your paperwork goes up to the next contest level
Contestants

BEFORE CONTEST:
· Assure the Contest Chair has your paperwork from the previous contest level
· Read the contest rules
· Practice your speech in as many clubs as possible
DURING CONTEST:
· Receive briefing from the Contest Master
· Draw for speaking order
· Put on a great show
AFTER CONTEST:
· Accept your winning trophy or congratulate those that won
· Assure your paperwork goes up to the next contest level
Judges

BEFORE CONTEST:
· Read the Contest Rules
· Review the judging forms
· If possible, fill out and sign the judges form
DURING CONTEST:
· Receive briefing from Chief Judge
· Fill out appropriate paperwork/forms
· Properly judge all contestants
· Bring any questions of eligibility and/or originality to attention of Chief Judge
AFTER CONTEST:
· Dispose of judging ratings sheets
· Do not discuss judging with others
Ballot Counters

BEFORE CONTEST:
· Review how to tally votes from judges
DURING CONTEST:
· Receive briefing from Chief Judge
· Hear count of how many judges ballots to collect
· Collect judges ballots
· Tally, and re-tally, the judges ballots and mark winners
AFTER CONTEST:
· Do not discuss tally results with anyone
Ballot Counters

BEFORE CONTEST:
· Review how to tally votes from judges
DURING CONTEST:
· Receive briefing from Chief Judge
· Hear count of how many judges ballots to collect
· Collect judges ballots

AFTER CONTEST:
· Do not discuss tally results with anyone
Chief Judge

BEFORE CONTEST:
· Appoint judges, tie-breaker, ballot counters, timers
· Gather forms for judges, counters and timers
· Read the contest rules
DURING CONTEST:
· Brief judges, counters and timers
· Instruct sgt-at-arms
· Annouce that everyone is briefed and eligible
· Discretely collect the tie-breaker judge ballot
· Collect/count ballots
· Give winner list to Contest Master and if any disqualifications
AFTER CONTEST:
· Thank judges, counters and timers
Contest Chair

BEFORE CONTEST:
· Set contest date/time/place
· Appoint Contest Master and Chief Judge
· Gather contest supplies
DURING CONTEST:
· Assure everything runs smoothly
AFTER CONTEST:
· Assure everything gets sent to the next contest level
Registration (optional role)

BEFORE CONTEST:
· Get forms and supplies from Contest Chair
· Determine registration position and duties/expectations
DURING CONTEST:
· Register attendees and give agendas
· Assure contestants are present
AFTER CONTEST:
· Give registration materials to Contest Chair
Hospitality (optional role)

BEFORE CONTEST:
· Determine from Contest Chair what is needed
· Arrange for anything that needs to be ready/available for the contest
DURING CONTEST:
· Handle duties as set by Contest Chair
AFTER CONTEST:
· Arrange for any clean up needed
Contest Audience

BEFORE CONTEST:
· Plan to attend
DURING CONTEST:
· Enjoy the contest, applaud loudly
· Observe one-minute-of-silence between each speaker
· Stay seated while contestant is speaking
· No recording/photos of contestants unless get permission from contestants
AFTER CONTEST:
· Congratulate the contestants

· Remain closed while contestants are speaking, sgt-at-arms will be on guard
AFTER CONTEST:
· Be open to let everyone leave

BEFORE CONTEST:
· Be determined by Contest Chair, Chief Judge and contestants to use at the contest
DURING CONTEST:
· Used by Chief Judge to brief judges, counters and timers
· Used by contestants of Evaluations and Table Topics
· Used by Chief Judge and counters to tally judges ballots
